Who we serve

Professional services

Agencies, practices and consultancies: entity structure, project profitability, and reporting that supports an actual decision.

Professional services firms are the largest small-business category in Los Angeles County by a wide margin, and the Westside is dense with them: agencies, design and architecture practices, consultancies, medical and dental practices, engineering firms.

They also share a specific problem: the business is people and time, which means profitability lives at the project or client level and is almost never visible in a standard profit and loss.

Where we help

  • Monthly close and reporting built around utilisation and project margin
  • Project and client-level profitability, which work actually makes money
  • Entity structure review as the firm grows and partners come and go
  • Multi-state payroll and registration as you hire remotely
  • Worker classification for the contractor bench most agencies run
  • Owner compensation planning and reasonable compensation analysis
  • Cash flow management around retainers, milestones and slow-paying clients
  • Lender-required financial statements for facility renewals and premises
  • Succession and partner buy-in modelling

Common questions

Not answered here? Ask us directly: we would rather explain it than have you guess.

We have a lot of 1099 contractors. Is that a risk?

It can be a significant one in California. If contractors do work that is central to your business, under your direction, on your schedule, the classification is exposed. An EDD audit can reach back years and assess across everybody in the same category at once. If you have a long-standing contractor bench doing core work, that is worth reviewing before somebody files a claim and asks the question for you.

How do we find out which clients are actually profitable?

By tracking time against clients or projects and allocating direct labour cost, plus a fair share of overhead, against the revenue each one generates. Most firms have the time data already and simply never connect it to the financials. It is a set-up exercise rather than an ongoing burden, and the results are frequently uncomfortable in a useful way.

Should we be an S-corp?

It depends on profit level, reasonable compensation, state tax treatment and what you plan to do with the business, and in California the analysis has to account for the $800 minimum franchise tax and the 1.5% S-corporation tax, which national guidance often omits. It is a real calculation, not a rule of thumb. We are happy to run it.

We just hired someone in another state. What do we need to do?

Almost certainly register for payroll tax in that state, and possibly create an income tax nexus for the firm. Tell us before the first payroll run if you can. Registering at the outset is straightforward; unwinding several quarters of unregistered payroll is not.

The California compliance calendar

Every filing a Los Angeles business, nonprofit or association owes in a year, in date order, with the statute beside it. One page, so it can go on a wall.

  • Federal, California and Los Angeles County dates in a single sequence
  • Entity by entity, so you only read your own rows
  • The citation for each date, so you can check it yourself
  • Reviewed and dated, and reissued when a date moves
